COVID-19 SAFETY INFORMATION AND GUIDELINES

Since COVID-19 is extremely contagious and is spread mainly from person-to-person contact, the Association for Unmanned Vehicle Systems International (AUVSI) has put in place preventative measures to reduce the spread of COVID-19 during AUVSI XPONENTIAL 2021. However, AUVSI cannot guarantee that its participants, volunteers, partners, or others in attendance will not become infected with COVID-19. While participating in events held or sponsored by AUVSI social distancing must be practiced, and face coverings worn at all times to reduce the risks of exposure to COVID-19.

AUVSI strongly encourages all in-person event participants to be fully vaccinated (defined below under Safety Reminders) before attending AUVSI events.

In light of the ongoing spread of COVID-19, individuals who fall within any of the categories below should not engage in AUVSI events. By attending an AUVSI event, you acknowledge and warrant that you do not fall into any of the following categories:

  1. Individuals who upon arrival in Atlanta or within the fourteen (14) days prior to AUVSI XPONENTIAL 2021 have experienced any symptoms associated with COVID-19, which include fever, cough, and shortness of breath among others;
  2. Individuals who have traveled at any point within fourteen (14) days prior to AUVSI XPONENTIAL 2021 either internationally or to a community in the U.S. that has experienced or is experiencing sustained community spread of COVID-19; or
  3. Individuals who believe that they may have been exposed to a confirmed or suspected case of COVID-19 or have been diagnosed with COVID-19 and are not yet cleared as non-contagious by state or local public health authorities or the health care team responsible for their treatment.

Event Safety: To promote the safety of everyone at the event, AUVSI will follow the CDC, State of Georgia, Georgia Department of Public Health, Georgia World Congress Center and other local regulations regarding COVID safety practices during AUVSI XPONENTIAL 2021. AUVSI may change its practices to account for changes in government health-related COVID-19 directives.

Attendee Safety: In light of events surrounding COVID-19, this is an appropriate time to remind ourselves of the risks inherent to participating in AUVSI XPONENTIAL. Even with every reasonable precaution to keep you safe as outlined for you by the CDC, federal, state, and local governments, and health departments, AUVSI cannot fully eliminate all risks of harm to attendees or guarantee their safety, especially from risks posed by COVID-19 or its variant strains.

Safety Requirements: While at the Georgia World Congress Center, you will be asked to follow AUVSI’s latest guidance and directives, including the requirement of any applicable mask guidelines for events taking place in indoor spaces and socially distancing in effect during the event, and practice good hygiene.

Safety Reminders:

  • According to the Centers for Disease Control (CDC), a fully vaccinated person is anyone having received the second dose of Pfizer/BioNTech or Moderna vaccines or the single-dose Johnson & Johnson vaccine and two weeks have transpired since the last dose.
  • It is inadvisable for anyone to attend if you are: a) unvaccinated and having COVID-19 related medical risk factors, b) having symptoms or signs of sickness or having been in recent contact with known positive COVID-19 cases, or c) testing positive for COVID-19 or any of its variant strains within the last 10 days.
  • In accordance with CDC guidelines, it is strongly recommended that anyone traveling to and or attending a large indoor gathering be fully vaccinated. Fully vaccinated travelers should still follow CDC’s recommendations for traveling safely.
  • It is inadvisable for anyone to travel without first determining the requirements for safely traveling to and within the United States, particularly when fully vaccinated with an FDA-authorized vaccine or a vaccine authorized for emergency use by the World Health Organization.

Limited Waiver: Please be advised, under Georgia’s current COVID-19 Pandemic Business Safety Act (SB-359) or as amended, the following Limited Waiver will be posted within the GWCC and the AUVSI registration area within the GWCC and shall be applicable to all individuals entering the GWCC.

WARNING: Any person entering the Georgia World Congress Center waives all civil liability against the AUVSI for any injuries caused by the inherent risk associated with contracting COVID-19 at public gatherings, except for gross negligence, willful and wanton misconduct, reckless infliction of harm, or intentional infliction of harm, by the individual or entity of the premises.

REGISTRATION CONFIRMATION

Your registration will be confirmed by email from XPONENTIAL@showcare.com within two business days. Please check your junk and/or spam email folder for confirmation prior to contacting the AUVSI Registrar. If you do not receive an email confirmation within five business days from the date your registration was submitted, or you have other registration questions, email XPONENTIAL@showcare.com or call +1 (844) 327-5248.

By registering for this hybrid event, you agree to the terms and conditions contained in the AUVSI XPONENTIAL Show Policies below and to abide by the policies described herein.

CANCELLATION

Refunds will not be given for the virtual component of the event. However, attendees can expect to receive access to an on-demand library of content post-show.

Cancellation requests for the in-person component of the event must be made in writing and sent to XPONENTIAL@showcare.com. Cancellation requests will not be accepted by phone or onsite. Cancellations will be acknowledged by email. If you do not receive an acknowledgement within two business days contact Showcare Customer Service at +1 (844) 327-5248 toll-free/+1 (514) 228-3155 international or by email at XPONENTIAL@showcare.com.

  • 25% cancellation fee will be assessed on cancellation requests received by Friday, May 21, 2021
  • 50% cancellation fee will be assessed on cancellation requests received Saturday, May 22, 2021 through Friday, July 2, 2021
  • Refunds will NOT be given for cancellation requests received on or after Saturday, July 23, 2021
  • Refunds will NOT be given for no shows
  • All refund request will be processes after the event

Badges are non-transferrable once printed and are subject to a $50 reprint fee.

SUBSTITUTION

In-Person Event: Substitutions will be allowed before a badge is picked up, as long as the replacement individual is from the same organization. Substitutions will not be made once the original registrant has attended any portion of the conference. The original registrant may make the substitution by emailing XPONENTIAL@showcare.com by Friday, August 13, 2021. Beginning Saturday, August 14, 2021, all substitutions must be made onsite and require hard copy/written permission from the original registrant granting the substitution.

Badge swapping or sharing is NOT PERMITTED.

AUVSI XPONENTIAL show badges cannot be reproduced and once a badge has been picked up, it cannot be resold or transferred to another individual without AUVSI’s prior written consent. The AUVSI XPONENTIAL show badge constitutes a limited revocable license to attend the current AUVSI XPONENTIAL show. By registering to attend AUVSI XPONENTIAL, you agree not to assign or transfer any rights in this license without AUVSI’s prior written consent. AUVSI XPONENTIAL show badges are the property of AUVSI and may be revoked at any time for any reason. AUVSI XPONENTIAL badges must be worn at all times at the show.

Virtual Event: Substitutions will be allowed prior to the virtual platform opening, as long as the replacement individual is from the same organization. The original registrant must make the substitution by emailing XPONENTIAL@showcare.com by Friday, April 23, 2021

It is NOT PERMITTED to sell, trade, transfer, assign, or share your access link and/or registration code to attend AUVSI XPONENTIAL virtual event, unless such arrangement is approved in writing by AUVSI.

AUVSI reserves the right to cancel the access under any access link and/or registration code that it believes, in its sole discretion, has been improperly sold, traded, transferred, assigned or shared with another individual or individuals. In connection with such cancellation, AUVSI may retain any payments made on your behalf, and/or ban you from future virtual events.

ATTENDEE

AUVSI reserves the right to accept or reject registrations and to cancel any previously accepted registrations, at any time, at its sole discretion, without liability to the registrant or any other party. This policy was instituted to maintain the professional environment of the show and protect the interests of our attendees and exhibitors.

AUVSI reserves the right to refuse entry or require removal from AUVSI XPONENTIAL for any violations of any terms or policies stated herein or otherwise related to AUVSI XPONENTIAL.

By registering for AUVSI XPONENTIAL, each attendee consents to release any and all rights such attendee may otherwise have to the attendee’s likeness, and to any photographs, recordings or other images owned/produced or created by AUVSI, by any exhibitor personnel, and by any member of the media during the virtual event. Attendee grants AUVSI, all exhibitors, and media the right, permission, and license to use its attendee’s name, voice, image and likeness, and releases AUVSI, all exhibitors, and media from liability resulting from such use.

AUVSI, at its sole discretion, reserves the right to decline the registration of any applicant that may violate national security or export compliance laws, including U.S. economic sanctions. Applicants must provide full, truthful information when registering, in accordance with registration terms and conditions.

PROFESSIONAL CONDUCT

AUVSI XPONENTIAL is committed to providing a professional environment free from physical, psychological and verbal harassment. AUVSI will not tolerate harassment of any kind, including but not limited to harassment based on national origin, ethnicity, religion, disability, physical appearance, gender or gender identity, sexual orientation, marital, or veteran status. Harassment includes offensive or inappropriate gestures, images and verbal comments, deliberate intimidation, stalking, following, inappropriate photography and recording, sustained disruption of talks or other events, inappropriate physical contact, and unwelcome attention. If AUVSI, in its sole discretion, determines that your participation or behavior create a disruption or hinder the event or the enjoyment of the event content by other attendees, they have the right to remove you immediately from the event.

Registrants/Attendees may not record or broadcast audio or video of sessions from AUVSI XPONENTIAL.

VEHICLE DEMONSTRATIONS

AUVSI XPONENTIAL may feature vehicle demonstrations. Any individual who enters the demonstration area, or rides in a vehicle within that area, does so at their own risk and shall hold harmless the Association for Unmanned Vehicle Systems International (AUVSI), The Georgia World Congress Center (GWCC), Freeman, and the demonstrating company from any and all liability. Minors are prohibited from engaging with vehicle demonstration unless accompanied by an adult.

By entering the demonstration area, you acknowledge and represent that you have read and agree to these terms and participate voluntarily. You further agree to comply with all applicable laws and ordinances.

PHOTO AND VIDEO

Attendees are permitted to use hand-held cameras to take photographs, capture digital images, and videotape within public areas of AUVSI XPONENTIAL for personal, non-commercial use. Public areas include the exhibit hall; keynote session, technical, panel and workshop rooms; AUVSI press rooms; lobby areas; and hallways.

Large cameras, photo or video equipment, or ancillary equipment such as lighting, tripods, cables, etc. are prohibited, except in instances where approval from AUVSI Event Management is obtained. All photographers and videographers are prohibited from entering, photographing, or videotaping non-public areas of AUVSI XPONENTIAL. Non-public areas include storage areas; speaker ready rooms; staff offices; and dedicated meeting rooms.

All photographers and videographers are prohibited from impeding attendee traffic flow, blocking doors, stairs, elevators and escalators, and affecting the safety of attendees. All photographers and videographers must fully and immediately comply with any requests, directions, or instructions of AUVSI Event Management related to safety concerns. All photographers and videographers must obtain exhibitor approval before capturing images within the exhibitor’s booth space.

While attending AUVSI XPONENTIAL, all photographers and videographers must comply with all applicable rules, including but not limited to, this policy, all applicable laws, ordinances, municipal regulations, standard operating procedures and administrative procedures. AUVSI Event Management may evaluate the actions of a photographer or a videographer, and if a determination is made that the actions of a photographer or videographer are not in compliance with any applicable rule, AUVSI Event Management may terminate the permission granted by this policy.

AGE RESTRICTIONS

Due to insurance regulations and other liability concerns, no one under the age of 18 is permitted on the exhibit show floor during move-in and move-out. During exhibit hours, persons age 18 years and older are permitted access to the exhibit show floor only if they are a registered attendee. Persons under 18 years of age will be considered on a case-by-case basis and will require a waiver and possible adult supervision (dependent on age) before being permitted on to the exhibit show floor.

EXPORT COMPLIANCE

AUVSI reminds conference participants that they are responsible for compliance with regulations limiting the release of export-controlled technology or technical data and the provision of defense services to non-U.S. persons under the Export Administration Regulations (EAR) and the International Traffic in Arms Regulations (ITAR). AUVSI is not liable for unauthorized releases of technical data by conference attendees.

FORCE MAJEURE

If AUVSI XPONENTIAL is cancelled, in part or whole, for any reason beyond the reasonable control of AUVSI, including without limitation acts of God, war, mob, riot or civil commotion, strikes, labor disputes, accidents, governmental laws, ordinances, regulations, requisitions or restrictions, unavailability of facilities, lack of utilities, commodities or supplies, inability to secure sufficient labor, civil disturbance, terrorism or threats of terrorism, disruption to transportation, disaster, fire, earthquakes, severe weather conditions, epidemic or pandemic, or any other comparable calamity, casualty or condition, or any other circumstances make it illegal, impossible, commercially impracticable or inadvisable to hold AUVSI XPONENTIAL at the time and place provided or in a virtual manner, the attendee waives any claim for damages or compensation, except the pro rata return of the amount paid for admission, after deduction of actual expenses incurred by AUVSI in connection with AUVSI XPONENTIAL and there shall be no further liability on the part of either party. In no event, shall AUVSI, its officers, directors, trustees, or agents be liable for any direct, indirect or consequential damages resulting from the failure to hold AUVSI XPONENTIAL.
